I am in charge of athletics. However, I am not familiar with an online athletic scheduler.
ANSWER FOR ATHLETIC DIRECTORS EXPLAINING WHY WOULD THEY NEED THE AS, WHAT IT'S FOR, ETC.

Thanks for your interest in our school but our needs are currently being met regarding scheduling.

I would handle the athletic schedule and our vice principal would handle the school calender. Someone in the superintendents office would handle the district calender. At this time, I am very pleased with my athletic scheduler.

It is not a financial thing. I have spent a whole year getting our entire school scheduling to be done on one scheduling program. It was a struggle, but it is now operational and everyone likes it. If I switch programs, they will kill me.

Our athletic scheduling and calendar development programs work well. We have no need for your products. Thanks for your inquiry.

Kind of. As the all-around tech guy, most tasks seem to fall to me. Of course, your product would need to be looked at along with our Athletic Director & dist. secretary, too.
We are an all-macintosh enviornment, so any product we would even think about evaluating would have to work on the mac platform. Dave Huber

As District Director of Athletics I do all scheduling for our high school athletic teams and provide general supervision over the jr. high school athletic programs. With regard to non athletic programs our district already has a rather extensive on-line calendar and scheduling software program that is provided through our district Director of Technology and administered by our central administrative office. I don't think there would be any interest in looking at a different school or district calendar and generally I am satisfied with the way we currently handle scheduling of athletics.

PONTEM ALL STAR SCHEDULER we just purchased the Pontem All-Star Scheduler last year. I am very happy with it so far and am not looking for another software. The Pontem All-Star Scheduler includes many special features including an athletic calendar. Ros Richardson

We are a small elementary district. We do not have an AD. I do see the benefit of this calendar program, but I do not believe it is cost effective for our small district.

I do all the scheduling for MVK and usually just use a spreadsheet.

I do the scheduling as far as athletics, but Pam Wood/and or Andy Larson would maybe be the one to contact about the district calendar.

I am the Athletic Director that schedules all athletic contests, officials, buses, and workers for these contests. Brad Detering is the principal that would complete the school calendar and other school activities.

Cornell H.S. is a deactivated high school district* that tuitions all of the students to Flanagan CUSD in Flanagan Illinois. Jim

It would be our athletic director but he is retiring and we are in the process of hiring a new one.

I have looked at league minder and pontem and felt both were more than I wanted to spend as it would be a direct cost to me.

I am retiring in two years. Maybe the new person would like to change - but I am set!

we are a K-8 district of 204 students. We would need to probably be within a consortium concept to make something like this financially for us!!! Thanks, Bob A.

We only have middle school basket ball for an athletic program. If this is truly a complete school and district calendar, I would be the person who would evaluate it. If it is only for athletics, our coaches would need to be involved.

As Athletic Director I don't have ANY schedulers right now. I looked into one a few years ago (Schedule Star - I think), but I never had time to actually sit down and try to figure it out and it was only a month free trial, so needless to say, I have nothing on the computer and I do everything by hand and pencil/paper.

As far as contacting someone from the school, our computer technology person is Tom Davis. He is the one that actually puts our schedules/lunch menu's etc... on our school website. His email address is .... Our Prinicipal is Andy Larson and his address is ... And our secretary is Pam Wood and her email address is ...

We don't have any athletics here, Cora. We're get new students each quarter so our school population is always changing. I'm not sure we could use your calendar format. But, thank you.

Each school does their own scheduling. We assign 1 or 2 sports to each school for conference scheduling.

We already use School Calendar Company for our athletic schedules and they are put on our web site by our tech director - Pam Van Blaricon. I assume she would be the person to talk to about district wide calendar. go

I would like to look at what your grants are specifically asking for to see how they would fit with our district direction document. I am sure that we would have a technology need that would fit your grants specifications.

I would not be the person to contact for items regarding the Middle School Activities Calendar -- that would be Ken Foster the Middle School AD. I deal with the High School Calendar and the District Wide Calendar which encompasses all items.

Hi Cora, Our headmaster her at Fox River Country Day, John Friborg, forwarded your email conversation to our athletic department. Like he said we are too small to really get much use out of a program like yours although since we are expecting a certain amount of growth over the next few years we will keep you in mind. You asked if there was anything else that your grants could help us with, and not knowing what these grants are set aside for I would say that our biggest need as an athletic department is in equipment. So if there is anything that could help us there we would love to hear more about it, but if not I can say that we are glad to have you on our radar screen and if your service ever seems to be something that would fit for our school we will look you up. Good morning, Ms. Andrews. I am the facility scheduler for Mason City Schools, but I'm not sure that I have what you want. I reserve facilities for athletic events - but our Athletic Dept uses a national program called "Schedule Star" to post athletic events on line. Our district calendar is posted on line - but unfortunately I am not connected to it so it may be outdated within a few minutes of when it is posted.

We have just purchased an internet program for the next year that we have not implemented yet. It is School Dude and is internet based.

We have schedulestartNOW. Also...it syncs with Dynacal...which is what our school uses as a school calendar.

In the past we have tried to do things district wide for our high and Middle Schools. Is your software able to allow 3 or more schools to schedule on the same software independently and then while maintaining their independent schedules allow for a combined schedule for the district? Ed Zink is our Athletic Director at the High school, Joe Johnson and Dave Meckstroth is our MS coordinators. We presently use Schedule Star and we are fairly pleased with it.

Cora- I will say you are persistant!
Five of our eight county ADs use Schedule Star on the web. The other three will be using it next year.
Human nature being what it is, you will not be able to change the five who have been using it for several years- they/we have two much time invested in it. If the shoe were on the other foot, you would not want us dropping you going to another product.
If you have information that you can send me, I will be glad to take a look but please understand that Schedule Star seems to be providing what we need.

From what I have seen of the scheduler, it is an on-line scheduler. I would not be interested in that. I would be interested in software that was LAN based with the capability to be updated by the administrator anywhere via the Internet. I am not a "lover" of Internet based programs.

I would be if speed was not an issue, but until it is not, that is where I stand.

The Peachtree MS School and District Calendar is a calendaring system is called "WebEvent View" which the DeKalb County School purchased and is currently being utilized by all Local School and a few Departments. Since we currently own this product, I am uncertain as to how an evaluation of the product could help. Craig

How to handle returned emails.
ATHLETIC SCHEDULER, SCHOOL CALENDARS.



We are sending emails to Athletic Director and to Principal. In case we do not have email for either of these persons, we are sending email to other person, e.g. teacher, assistant principal (A and B columns in the IL file).



When letter returns, find the school by that returned email and check the school website if an email address of the Principal/ADirector did not change.


In case there's a new email address and/or school has new Ppal/AD,
please UPDATE our database(enter email address and the name of the Ppal/AD in appropriate cell in the file, enter the date of updating and mark the updated school in red colour).


In that case we will have our school database updated. (Just a short checking of school website regarding email address of the Principal).



Also you have to send our INITIAL LETTER to the new email address (NOT forwarding).


In case you find the same "returned" email address in school website, send our INITIAL LETTER to OTHER person from that school - e.g. to secretary, assistant principal or teacher, in case you find email addresses for these persons for that school in our file.



NOTE: you have to send initial letter in “New/Forward field”

Thanks for getting back to me.


The idea really is very simple, when Athletic Directors are assigned the
part of the schedule (for instance Volley Ball) that they are responsible
for, then they develop it right into a calendar that is online, and able to
immediately have other ADs review their proposed schedule ... compare it to
other AD's schedules that are using the same gym facilities, and so forth.
This planning part saves drive times, faxes, HUGE amounts of paper, and so
forth.


Then, when all the AD's have approved the schedule, each school gets an
Online Calendar where "their" schedules appear. The school calendar can also
be used for putting other events in it (at that school) and has the ability
for any student/parent/teacher/administrator to "see" the calendar with just "basketball" or some other activity displayed.


Of course a parent loves this part, because they can include all of their
student's activities and then hit the Print key and instantly know what the
taxi schedule needs to be (and post it on the refridgerator door).


Some places in the country are hit by weather problems (hurricanes or snow
or rain) that cause the need for notifying everyone of a school closure or a cancellation of an away game, etc. The Online scheduler makes it very easy for everyone to check and also see when something has been rescheduled, Instantly.


Hope this gives you enough of an idea, that I could schedule a demonstration
and get you lots of recommendations from schools that are currently using
this technology to cut administrative costs and time.

Yes, I can well understand how tar and feathers that might become your new clothes!!


Well, let's explore some other possibilities then! Some of the "scheduling" programs out there don't do certain things which are desirable.

For instance, some of them are not online (real time changes instantly posted everywhere). Some of them don't integrate with the existing school or district calendar and when this happens it is difficult to spot conflicts on the facility scheduling side of the equation.

We do have solutions (outside of the scheduling programs) to handle these, this might be something to explore.

When would be a convenient time to discuss these?

Ah, the tech problems roll down hill and end up on your plate! I guess you'll never run out of work with that responsibility.


Yes, many of our schools are Mac schools and we've had to do a lot of testing for that environment. Actually, we go a long ways back when all schools were Mac and actually received an award for the first in-depth "virtual" school from the Smithsonian Institute (innovative application of technology in education).



How do you think it would be best to proceed? First do a demonstration with you and get you schools to speak with that are using these solutions?
Or arrange a meeting time when we can do a telephone conference (when you three are in front of a Mac) and do a group demo?

Do we always have to ask for referred person's e-mail address?




Sometimes there is no need to ask for an email address:


1) when the e-mail address of the referred person is on CC field

2) when we find e-mail address of the referred person in our files

3)when we find the referred person's e-mail address on school website.


BUT, if we do not find it as mentioned above, then email address is not always evident, because there can be 10 Susannas with last name that begins with C in the same district.



Also, there may be Susan, Susanna or Sue, William or Bill, Margaret or Peggy, Edward or Ed, etc.



When we are answering letters and when we are collecting emails, we are NEVER guessing for an email address. We are just finding it in school, distric website.



So, when referred to other person, please check check our files or the school website for an email address and in case you do not find it, please ask to provide it.



There are districts that have 50 schools and each of that schools has staff that may have the same names and surnames, so there is a possibility to disturb inappropriate person.

Please recommend how we should proceed...


1. I know that Schedule Star does not integrate with your existing school calendar but requires that everyone goes to the HighSchoolSport.net


2. I suspect that the process of Schedule Star is perfect for a single department but lacks some key features for collaboration across a Conference.



3. Without the integration with the existing school calendar, facility scheduling can also become a hidden problem.


4. The rSchoolStore integration capabilities for Activities Fees online payment is saving lots of time to ADs using our scheduler.

Knowing that the Grant is available so that money should NOT be a problem, it starts to come down to a question of learning a new piece of software (ugh, the pain of it). BUT if the result is worth the effort, it is worth considering.


Would see a quick telephone demo be okay to arrange?

The Grant process is very simple, we work with someone on your staff to determine how useful this might be, then if it is useful, the Grant is issued to cover whatever you determine it needs to cover and you begin to use the application. PONTEM ALL STAR SCHEDULER
we just purchased the Pontem All-Star Scheduler last year. I am very happy with it so far and am not looking for another software. The Pontem All-Star Scheduler includes many special features including an athletic calendar.

Thank you ever so much for responding and the indepth data you provided was perfect.


I went to the Pontem website and eagerly read about their product but was dismayed to see that this is a whole generation behind the leaders. You see, most athletic conferences need to coordinate between many schools and to produce schedules that then have to be emailed or posted somewhere and down loaded, for review, still leaves a huge part of the process in a "slow" mode. The new generation of schedulers are real time, online systems, with all of the features listed in the Pontem website and many more for yet again increasing the efficiency.



Obviously the Grant can handle any monitary considerations so the real question is whether there is enough reason to even consider learning anything new. What I'd love to do, is at least get you a chance to see the newest generation in online, real time scheduling that fully integrate with such things as the school calendar and facility scheduling, and more. Just tell me to limit the demo to 15 minutes, so you are at least aware of what's going on in the front lines.

Yes I am aware of Schedule Star and Schedule Star Now, which is an online version. They are very new to online applications and as such are missing many features that would integrate the Athletic Schedule with the rest of the School's Calendar.



As far as us, we have a history of doing one of the earliest Virtual Schools on the web and received an award for it from the Smithsonian Institute in 1998 for Innovative Use of Technology in Education. Today we have schools that are exceeding a million hits per month on their school website.



Last year we gave out over $120,000 worth of Grants to schools and are always looking for ways to help. We actually have quite a number of web based applications to help schools with.

We are a small elementary district. We do not have an AD. I do see the benefit of this calendar program, but I do not believe it is cost effective for our small district.

Thanks for your response. We often run across schools that have a division of labor between the school calendar and the athletic calendar. What we'd suggest is that we arrange for a conference call to show both or you together how we integrate the two and how each is greatly aided by features that greatly speed up the whole process.



You see, the simplicity is this, when a parent goes to view their child's school calendar, they need to be able to know everything so that they are not confusing a PTA meeting with a basketball game, not having conflicts in schedules between two children in the same school, etc.



Additionally, conflicts in the use of facilities or start and stop times between athletic schedules and non athletic schedules will be more quickly noticed even by teachers and administrators.(we do have an optional fully integrated facility scheduler and community/adult education applications)

As Athletic Director I don't have ANY schedulers right now. I looked into one a few years ago (Schedule Star - I think), but I never had time to actually sit down and try to figure it out and it was only a month free trial, so needless to say, I have nothing on the computer and I do everything by hand and pencil/paper.

We are pretty much of a paperless organization. If it is okay with you, let's please continue a bit more via email.


The idea really is very simple, when Athletic Directors are assigned the part of the schedule (for instance Volley Ball) that they are responsible for, then they develop it right into a calendar that is online, and able to immediately have other ADs review their proposed schedule ... compare it to other AD's schedules that are using the same gym facilities, and so forth. This planning part saves drive times, faxes, HUGE amounts of paper, and so forth.



Then, when all the AD's have approved the schedule, each school gets an Online Calendar where "their" schedules appear. The school calendar can also be used for putting other events in it (at that school) and has the ability for any student/parent/teacher/administrator to "see" the calendar with just "basketball" or some other activity displayed.



Of course a parent loves this part, because they can include all of their student's activities and then hit the Print key and instantly know what the taxi schedule needs to be (and post it on the refridgerator door).



Some places in the country are hit by weather problems (hurricanes or snow or rain) that cause the need for notifying everyone of a school closure or a cancellation of an away game, etc. The Online scheduler makes it very easy for everyone to check and also see when something has been rescheduled, Instantly.



Hope this gives you enough of an idea, that I could schedule a demonstration and get you lots of recommendations from schools that are currently using this technology to cut administrative costs and time.

The Grants are very specific to one major criteria ... that they are for Web Applications that will help to reduce administrative costs. Now this is pretty broad and has been used to cover all the way for online courses and testing, to online forms to a district wide standardized district-school websites with emergency information and menus and calendar items that roll from the District downwards.
How the Grant is given, is by qualfying "what" level it needs to be written for ... to cover what percentage of the costs involved. You are the person determining that. Then when you tell us what that needs to be, we write the Grant and the rest is handled within a normal license.

thing we ask, is that at the end of each year, we speak again and find
out what you need for a grant again, and how the savings in administrative costs are coming, etc. The only reason why we don't automatically issue 100% grants, is because we are trying to help many schools, and we don't have unlimited funds and don't receive subsidies from any donors or the government. These grants from eProfessional Assoc, are subsidized by Distributed Website Corporation.

The main thing will be to determine if there is enough "value" in upgrading from Schedule Nowmad (is this the correct spelling?).

The number of schools that are not even at Dynacal's level of calendaring is staggering.



Please consider taking 15 minute to see perhaps a whole generation beyond Dynacal's solution. This would include the possibility of a fully integrated facility scheduling, district-school web calendaring, athletic-activity scheduling, and even community education scheduling. This combination is designed to really handle 99% of what happens relative to schools, their activities, and their facilities.

Good morning, Ms. Andrews. I am the facility scheduler for Mason City
Schools, but I'm not sure that I have what you want. I reserve facilities for athletic events - but our Athletic Dept uses a national program called "Schedule Star" to post athletic events on line. Our district calendar is posted on line - but unfortunately I am not connected to it so it may be outdated within a few minutes of when it is posted.



We have just purchased an internet program for the next year that we
have not implemented yet. It is School Dude and is internet based.

I think the best thing to do, will be to speak with you and review how our Facility Scheduler, our School Wide Calendars, our Activity Scheduler (including athletics), and how our Community Ed (which also needs facility schedule coordination), all work in an integrated fashion.



Then, have you tell us when and who we should check back with, since you've already made a new purchase, and there are different programs being used from different publishers.

Yes, it sounds like you've got two applications to accomplish what our single application can do. I'm sure you've got lots of time invested in working this all out, so you'll probably quickly recognize the value would could bring.



On the other hand, it is probably not a popular thing to look at something new when the old one isn't broken.
